The terms ‘TCI’, Us or/and ‘We’ refer to Travel Concierge India (OPC) Pvt Ltd and its website www.tcigroup.co.in and the terms ‘Guest/s’, ‘Client/s’, ‘Traveller/s’, or/and ‘You’ refer to the customer looking to buy any services from us or booking a Holiday Package or making any other reservation or booking or purchase though us directly or through our website or indirectly through any of our affiliates through whom we provide services. These terms describe the terms and conditions applicable to your access and use of this website. We reserve the right to change these terms, conditions and notices and you agree to accept and be bound by the terms, conditions and notices that are in effect at the time of your use of our website and facilities.

However, we do not warrant the validity, quality and pricing of the products or packages and services offered at this website. INDEMNITY

You hereby indemnify us and shall continue to keep us indemnified including any of our officers, directors, employees and agents from and against any claims, causes of action, demands, recoveries, losses, damages, fines, penalties or other costs or expenses of any kind or nature including but not limited to reasonable legal and accounting fees, brought by third parties as a result of:

GOVERNING LAWS & DISPUTE RESOLUTION

The use of this website shall be governed by the laws of India and shall be subject to the exclusive jurisdiction of the courts in Himachal. Any dispute, difference, controversy or claim arising out of or relating to your use of this website shall be referred to arbitration of a sole arbitrator, who shall be appointed by Travel Concierge India (OPC) Pvt ltd or its authorized representative or Director/s. All such arbitration proceedings shall be held in Himachal and shall be in accordance with and subject to the provision of the Arbitration and Conciliation Act, 1996 or any statutory modification or enactment thereof.

TOURS & SIGHSEEING

  • Certain components of the itinerary like airport pick up and dropping times and sightseeing tours may have a surcharge because of any amendments to the flight schedules due to any reasons. In such cases, if your tours are sharing in coach or shared, they may have fixed departure and pick up, dropping times and may be affected. They may or may not be replaced with alternatives and clients may have to make arrangements on their own. For private tours and transfers, modifications may be permissible however surcharge for night or early morning arrivals or pickups may be applicable for any reasons such as that we may need to provide a new supplier to adjust to your new timing of pickup or dropping.
  • The tour and sightseeing dates may need to be changed if one or another falls on a general day of holiday or public closing or closed or due to any other circumstances where the supplier directs the rescheduling of tours. This is also applicable for different selection of flights and sometimes incases where your flight schedule forces to change the sightseeing dates. We will in that case do our best to adjust the tour dates and times however cannot guarantee any confirmation and will not be held responsible for this due to the tight schedule to cover all these tours within a short span of your time in the city. If at all due to any supplier personal reasons, any tour is cancelled or postponed to a point where guests do not wish to accept, an appropriate refund for the particular tour will be provided to the clients as long as the refund request is accepted and reimbursed by the supplier.
  • Pick up and Return back times are scheduled for majority of the tours and guests will have to adhere to such times to maintain standards of running the excursions by our professional partners
  • *Although TCI does its best that the guests are picked up from their hotels for all tours, In many parts of the worlds for example The United Kingdom, US, Canada, Europe, Australia & New Zaland, majority of the tours leave from central points or specified venues or in case of walking tours form the places of visit itself or outside such place, if the supplier is not able to provide with a pick up /dropping, the guests will have to make their own arrangements to the pickup point and then to the way back to the hotel from the drop off point. The hotels provided in our Chrome plus, Premium and Luxury categories are within the city centre in a central location and as close as possible to the pickup points to minimize any guest inconvenience. For Chrome categories, hotels provided may be at a decent walking distance at about 10 to 20 minutes normal walk distance or 10 to 20 minutes of cab ride. Cabs are generally available outside the provided hotels to transfer you in real quick time. This is important as most tours in Europe, US and UK operate from certain pick up points only. For many walking tours, guests will have to meet outside the venue itself. All such details will be provided with complete meeting venue descriptions once vouchers are generated after confirmation
  • For almost all tours in Europe, the tours finish at the main point/piazza/square/public place/historical area/old town point etc of attraction such as the Vatican tour in Rome or the Archaelogical area tour in Rome or the Eiffel Tour in Paris. This allows guests to spend the rest of their time at their own pace and not be hurried by a fixed time of return. These tours have been designed to finish at such points where there are other activities for the guests to do such as ample time of photo taking, availability of multiple restaurants, shopping opportunities etc based on guests feedback over the years and hence do not include a return back to the original tour departure point or the hotel.
  • You may have to board another vehicle after being picked up from your hotel before starting the tour.
  • *The ‘City Panoramic Tours or Panoramic Excursions’ in most countries are orientation tours of the city and include some short photo stops however in order to maintain the continuity of the sightseeing for the rest of the day, the professional guide will allow time frames at points of interest. No inclusions to any such places are included in this tour other than photo stops if not otherwise mentioned.
  • On occasions, due to large events, traffic, logistics and availability of reservations, it may be necessary to change or reschedule the above itinerary. However all aspects of the itinerary will be covered.
  • Although ensured in the majority of our bookings, due to any unforeseen circumstances, if the specified vehicle is not available, another vehicle equivalent in quality and category will be offered. Please know that the vehicle has certain limits of luggage carriage for space in particular and please be understanding of this fact that excess or over luggage may cause inconvenience to travelling families that have vehicles fully occupied to their capacity. Do let us know if you are carrying excess luggage and ask for an upgrade to a higher capacity vehicle in such cases well in advance before your departure dates which will be subject to additional charges.
  • The drivers of the vehicles are bound by specific rules like maximum driving hours within a day/during a week, rest period per day/week etc. Clients will have to strictly adhere to the prescribed time limits for the day so that the driver can complete the travel. In the event any of the sightseeing schedules is missed due to delays caused by the client, the same will not be refunded to the client under any circumstances. It is important to note that the driver gets ample rest on a daily basis after offering his services in a timely manner to be prepared and fresh for the next day’s drive. If any points of interest fall at times that may be hampering the schedule for the next day, we recommend to adjust the itinerary accordingly and make early starts for tours in the mornings and time departures from cities to your next destination to avoid late evening travel.
  • Certain points in the itinerary be closed due to road conditions / heavy snow / other reasons. These conditions are considered force mejure and we have no control over that, and no refunds and deductions can be claimed under such circumstances. Similarly, in case of any route diversion due to any kind of force mejure, extra charges may apply that will be needed to be paid by the clients directly to the driver. It may also be mandatory to fill-up and sign trip sheets at the point of embarkation and disembarkation on a daily basis to any such points of interest that require such by local laws. Vehicles may also be needed to be changed from time to time due to local syndicate norms and government rules.
  • Itineraries offered are near precise as much as they can be however certain points of interest may or may not be open on your day of tour in addition to various other effecting parameters. Although TCI works to find out any obstructive glitches and potentially fixes them accordingly to fit your itinerary, however at best, the tour itinerary may remain indicative only or subject to any restrictions.
  • We have listed various sightseeing points at the destinations in our itineraries which you can find in the Inclusions or Highlight/Explore section. Please do note that particularly for multi city private and personalized itineraries, sometimes, it may not be feasible to do all points in the same day and hence driver will start his journey to the next destination at the earliest possible time at most due to time restrictions. Guests will need to adhere to available possible times in a day as per working hours restrictions. Although we do encourage guests to start early in the mornings in consultation with our guide/driver to make the most of their day within the stipulated hours of work of the driver.
  • For India Packages, as per rules, AC may not be operational in hilly areas.
  • For destinations with beaches, islands, beachfront resorts etc or similar, TCI can help our guests plan and book optional water activities such as Scuba Diving, Sea Walking, Para Sailing, Jet Skiing, Banana boat ride, Kayaking, Para Gliding etc. from reputed suppliers and also organize private hotel pick up and drop offs. Please get in touch with your itinerary expert to personalize and optimize your time for a smooth and efficient experience.
  • Optional trips wherever mentioned in the itinerary of inclusions are not a part of this package however the client can choose to include them in the itinerary and TCI will adjust the itinerary accordingly if time permits on that particular day. Please confirm these with TCI before you confirm your package or during your journey when it may not be guaranteed. These optional activities or excursions may attract additional charges. Some optional tours include trekking and hence only recommended for people who consider themselves fit enough to trek or walk or climb longer than normal distances. Such tours may even need addition of a day or so in order to provide a comfortable overall itinerary which will be advised if needed by our experts.

FOR FOREIGN GUESTS COMING TO INDIA (INTERNATIONAL ARRIVALS)

  • TCI provides assistance at the airport by a qualified representative in currency exchange, Sim card assistance, Customs procedures and norms, Queries and Questions about destinations of visit and any personalization including last minute personalization.
  • Private English Speaking Chauffeured Quality Vehicle for all intercity transfers, return airport transfers and complete sightseeing and excursions as per your itinerary.

 

ENTRANCE FEES

  • Entrance fee to any places of visit or interest in the inclusions or otherwise is not included if not otherwise clearly stated as ‘with entrance fees’ or ‘entrance tickets’ in the inclusions. However TCI will assist to organize this beforehand if needed on case to case basis on request by the clients. This shall be at an additional charge where ever applicable.
  • Any entrance tickets or passes if included in your package and mentioned to be included specifically are all subject to availability at the time of confirmation when the actual bookings take place and if unavailable or cancelled due to any reasons, an appropriate refund will be provided to the clients equal to the cost of such services. Please also not that most India packages do not include the entrance tickets to any areas of interest in your itinerary.
  • Please note that the packages my not include any entry permit charges or any government related fees to any areas of interest if not otherwise mentioned in inclusions or terms and these will have to be borne directly by the clients on the spot.

 

OVERVIEW/EXPLORE/HIGHLIGHTS SECTION

  • The Highlights section in packages given on our website or the Explore section in our PDF or Word Format Packages has a list of Attractions or Sightseeing Points or Places of Interest or Activities or similar. Please note that these listed or bulleted points are given to provide you with an overview of what you will come across in your package and some of these points may not include entrance tickets or may be covered only from outside or some points may be only for views purpose during a hill drive for example. Certain points given may be a part of a Panoramic Coach or Bus Tour and there may be a short photo stop or not or it could be only a drive through a point of interest such as a public square or a landmark or a place of high interest. The points given in the Highlights/Explore Section do not necessarily mean that they are Fully Inclusive. Please refer to the ‘Inclusions’ section for further clarity. Before booking of any package, please ask your travel expert at TCI to clarify any doubts with regards to the same.

 

EXTRA BEDS/TRIPLE SHARING

  • Children extra bed if any included in this booking process will depend upon the type of extra bedding provided which further depends upon the hotel policy with regards to each room. Our Concierge can assist you get this information beforehand if requested by guests once the hotels are finalized
  • If inclusions mention your room category as Triple, guests will be provided with a room that accommodates three beds. If booking mentions extra beds, then this extra bedding provided will depend on the hotel policy with regards to each room and type of hotel chosen, these beds may be in the form of a Triple bed room, or extra mattress or rollaway bed or sofa extender etc. TCI can assist you get this information beforehand if requested by guests once the hotels are finalized.

 

ITINERARY

  • On occasions, due to large events, traffic, logistics and availability of reservations, it may be necessary to change or reschedule the above itinerary. However all aspects of the itinerary are intended to be covered.

 

INCLUSIONS & EXCLUSIONS

  • Anything not mentioned in the inclusions in not a part of the package however can be accommodated on client’s requests at applicable charges.
  • Inclusions marked with * may be available with one category of hotel or Package and not another. Please double check with your representative.
  • *Hotel pick up for certain tours if mentioned in the itinerary inclusions may be specific to certain hotels only and may not be confirmed for all hotels. This can be confirmed by TCI before booking of the package on client request.
  • *Anything marked as ‘Optional’ in inclusions or itinerary is chargeable additionally if chosen to be booked by the guests. Also if the guests wish to do that part by themselves, TCI will gladly assist with information and guidance.
  • All package inclusions remain subject to terms and conditions of the package booking.

 

FLIGHTS/HELICOPTER/SIMILAR

  • Please note that for Domestic flights within any country if required to be a part of your trip, C/I Baggage, Meals, Addon Services may not be included in your fare and clients will have to pay as per baggage at the airport on their own. TCI can assist in buying baggage or other addon services beforehand on applicable charges. Train tickets include a specified limit of carryon baggage which is generally considered ample for the purpose of travel by international tourist. However, clients can enquire about it before confirming tours and TCI will assist in providing the relevant answers to your questions. TCI will not be held responsible for any luggage charges paid at a later stage to any type of carrier or supplier during the course of your trip.
  • *Please note that various Low Cost Airlines for example in India- Indigo, Spice Jet, Goair and Air Asia do not offer free meals and free seat selection on their flights on various fare classes such as economy for example. These can be purchased by clients directly or TCI can assist to book at applicable charges.
  • If you are booking your flights through us, please refer to the amount of luggage included in your flights as per the airlines policy and fare category. Any additional baggage will have to be purchased by the clients further on their own. TCI can assist in buying additional luggage as per applicable charges beforehand as well. Please refer to the airlines meals policy on its flights on the airlines website or ask the travel experts/consultants at TCI once your flights are booked or before bookings and have your addons and special requirements such as wheel chair request, any particular meal request organized in time.

 

HOTELS/ACCOMMODATION/SIMILAR

  • Hotels offered in our packages are subject to availability. In case of the mentioned hotel or considered price not available at the time of booking, a similar hotel nearest or matching in price or in quality rating will be offered. TCI takes wonderful care of its clients while making any changes and all measures are taken to keep the comfort level at par with the previous arrangement and this is met invariably
  • If given as an option or inclusion in your itinerary, The selection of Spa treatment and the location and menus for dinners or Honeymoon Cakes or Welcome Drinks or Bed Decoration are different for each property or destination or category of package choses and if not clearly mentioned as inclusive in your package shall than come at an additional charge. Our Concierge can organize this beforehand or provide clients with the various options available for different properties with the Spa, choice of location for candle light dinner and food menu in advance.
  • Please note that hotels around the world during the New Year’s Eve, Christmas Eve, Local Festivals, other popular events, black out dates etc reserve the right to charge extra such as a guests mandatory gala dinner on the 31st of December night or a Christmas Dinner which is payable directly by the guests at the hotel. Any such charges are special arrangements by the hotel for the occasion are not a part of the package.
  • Room/s offered in a package may be nonsmoking category as per hotel’s/resort’s policy and this may not be specifically mentioned in the inclusions weather a room is smoking or non smoking. Please enquire about the status if you would specifically like to request for a smoking or nonsmoking room depending upon availability and resort’s/hotel’s terms before confirmation of your package.
  • Certain locations and destinations do not have star graded or branded hotels or premium quality beddings or interiors and at such points in your itinerary, TCI will only provide the best possible options to stay however all efforts will be done to try and ensure that our guests are given the best possible arrangements and are taken great care of with least inconvenience if at all possible.

 

BEACH/ISLAND RESORTS

  • Beach Water sports or other activities at the resort are subject to resort or hotel rules and while many indoor/outdoor activities and some water sports are complimentary for in house guests scheduled or unscheduled, others may be chargeable. Any activities or sports if chargeable by the resort are not inclusive in the package.
  • ‘Beach vicinity’ where ever mentioned means an indicative general walk of about 10 to 20 minutes to the beach from your hotel.
  • ‘Beachfront’ where ever mentioned means in front of the beach and may involve a short walk from the hotel to get to the beach.
  • ‘Ture Beachfront’ where ever mentioned means right on the beach or resorts/hotels having their private or shared beachfront.

 

HONEYMOONERS

  • If given as an option or inclusion in your itinerary, The selection of Spa treatment and the location and menus for dinners or Honeymoon Cakes or Welcome Drinks or Bed Decoration are different for each property or destination or category of package choses and if not clearly mentioned as inclusive in your package shall than come at an additional charge. Our Concierge can organize this beforehand or provide clients with the various options available for different properties with the Spa, choice of location for candle light dinner and food menu in advance.

 

CRUISES

  • Cruise Packages do not include any Items of a strictly personal nature, such as, shore excursions, bar beverages, dining in the specialty restaurants, laundry, telephone calls, photographs, medical services, gratuities, casino chips, onboard shopping, or other items not specifically stated under inclusions for the cruise segment.

 

PACKAGE COSTING

  • While we offer rates to our clients by email or other means for Holiday Packages, THESE rates offered are best valid for the next 24 Hours or LESS , and we recommend you to please reserve the room and flights within this stipulated time at the earliest in order to have best chance of availing lowest flight rates, based on which your package price has been published and offered. These rates of flights and room may not be available and will remain subject to change depending on the availability at the time of reservation. This is a common trend and although TCI does its best to confirm flight tickets immediately once client confirmation has been received, we regret any disappointments that may occur as a result of fluctuation in flight rates at the time of booking which are completely out of our hands and although this will be brought to the attention of the clients before any bookings take place.
  • Flight/train/Ferry/Cruise/Water Taxi/Hotels/Helicopter or any other means of transportation or accommodation rates are dynamic and any fluctuation in price even at the time of booking will have to be borne by the client. However, in case there is an increase in prices, clients will be notified before the booking takes place.
  • Any cancellations or modifications be it partial or full by any of the originally booked travelers (number based on which an original or latest quotation for the package has been given) or an increase or decrease in the number of originally booked travelers may increase the package price besides any cancellation or modification charges. NO Breakdown of such charges shall be provided.
  • Certain components of the itinerary like airport pick up and dropping times and sightseeing tours may have a surcharge if you wish to make any amendments to the flight schedules or you wish to change your flights to your choice. In such cases, if your tours are SIC, they may have fixed departure and pick up, dropping times and may be affected. They may or may not be replaced with alternatives and clients may have to make arrangements on their own. For private tours and transfers, modifications will be made however surcharge for night or early morning arrivals or pickups may be applicable.
  • Certain locations may remain closed on certain days and a visit to the certain places may be completely dependent on weather conditions and government rules applied restrictions. If any or your planned tour falls on a day of closure, an appropriate refund equal to the business cost of the tour will be provided or an alternative tour will be offered at a similar range which may or may not attract additional charges. If for any other reasons, our cabs are not allowed to go in, guests will have to organize approved cabs on their own. Any other entry permit charges are to be borne by the clients. Any changes in procedures and amendment or increase in taxes, permit fees or other extra expenses after the day of confirmation will have to borne by the clients.
  • Please refer to the cancellation and modification terms for all cancellation and modification penalties. We shall only provide a consolidated Pro Forma invoice at the beginning and then final invoice of the entire tour cost at a later stage once all bookings are complete from our side and invoices are raised and sent to us by our suppliers. We in no circumstances whatsoever provide the break–up of the cost or the breakup of the invoice. Cancellations and modifications penalty will apply on the net cost of the package as per the terms and no breakdown or such will be provided.

 

LOCAL TAXES/TOURISM FEE ETC

  • Many countries or cities around the world charge a Local Municipal/Government implied Tourist Fees/similar and this fee is directly payable in cash to the hotels around the world. The fees generally tends to be nominal only and has to be paid by all tourists directly to the hotels where ever charged and is NOT a part of your holiday package. Please let us know if you would like to know the local fee payable at your destination of visit and we will assist.

 

OUR LIABILITY

  • We are merely engaged in the business of travel and holiday organizer and do not control or operate any airline, cruise, hotel, tour, transfer etc. We do not own or control any shipping company, cruise, coach or coach company, hotel, transport, restaurant, kitchen caravan or any other facility or service mentioned We shall not be responsible for any delay, improper services provided by any agency, airline, transport, hotel, any provider of services, for any injury, death, loss or damage which is caused by the act or default of the management or employees of any hotel, airlines, cruise, shipping companies, cruise, coach owners/coach operators/tour operators whom we are just booking the services of. We shall not be responsible for any delay or deficiency in services provided by any agency, airline, transport, cruise, hotel, any provider of services, and/or any act or actions of co-travelers, co-passengers which may result in injury, damage to the life/limb or property of the client or interfere with enjoying or availing the services to be provided on the outbound tour. If the cruise or the airline is delayed or preponed or postponed and your connections are missed or need to be modified or any alternative arrangements need to be done, we will gladly assist but all additional expenses occurring out of such circumstances will have to be borne by the client and need to be paid to us before such additional services are booked. We are not responsible for any losses occurring out of directly or indirectly such delays or changes in any of the services or suppliers such as cruises or airlines and have no control over such changes.
  • We shall not be responsible for any delays & alterations in the program or expenses incurred – directly or indirectly – due to natural hazards, flight cancellations, accident, breakdown of machinery or equipment, breakdown of transport, weather, sickness, landslides, political closures or any untoward incidents.
  • We shall not be responsible for any loss, injury or damage to person, property, or otherwise in connection with any accommodation, transportation or other services, resulting – directly or indirectly – from any act of GOD, dangers, fire, accident, breakdown in machinery or equipment, breakdown of transport, wars, civil disturbances, strikes, riots, thefts, pilferages, epidemics, medical or custom department regulations, defaults, or any other causes beyond our control.

 

ACCEPTANCE OF BOOKING/TERMS OF BOOKING

  • Confirmation for the bookings given by you over phone or email or messaging will mean that you have gone through the Terms and Conditions Page mentioned on our website OR The cancellation and modification terms attached alongside the package in the mail sent to you.

 

VISA FACILITATION AS PART OF YOUR PACKAGE

  • The Visa Facilitation included in our packages is by default from India. We also do assist applicants applying from outside India weather India Citizens or not.
  • We cannot be held responsible for any delayed visas or rejected visas or any such related issues that may arise and cause your travel arrangements to be cancelled or adjourned or postponed or modified due to such issues arising out of rejected or cancelled or unissued or delayed visa issuance. As long as we receive your passports in due time which is equal to or more than the time advertised or made public on the website by visa issuing authority or vfs or embassy for the issuance of visas, and we further apply for the same within this time, we then cannot be held responsible for any such financial losses that arise in the cancellation or modification of your travel arrangements or any denied boarding at the immigrations or customs of any airport in the absence of such legal documents required. Clients will have to borne all additional expenses coming out of such issues and none will be reimbursed. Your acceptance of the package or holiday package means that you have gone through such terms and conditions as written here which are also emailed to you in the package policy at the time of confirmation with the correct link provided for you to read the full terms on the website.
  • We assist the clients or applicants in visa facilitation. We are associated with professional organizations and take pride in achieving a near perfect success rate. However, we are not responsible for any rejected visas or delayed visas or any other issues that arise before, during, after or through the visa facilitation process that may result in any inconvenience or any losses or any modifications or adjustments to clients or applicants travel plans or related activities. We will not be liable to pay or compensate for any such losses or expenses incurred as a result of such issues if any. Furthermore, embassy or vfs or our associate organizations may ask for any additional or related or extra documents at any given time even after submission of the application which the client or the applicant will need to provide. We are also not responsible for the loss of passport/s or the related expenses further incurring out of it during the process of courier or transportation due to any circumstances which may be natural or human errors on part of the courier company or any other transporter. However, we will assist the clients or applicants in such situations with proper consultation and getting the alternatives organized if possible at charges applicable for any such services.
  • Please note that any rise in fee structure on the visa fee imposed by any of the governments or VFS of the applicable countries of visit after the confirmation of the tour and before the application process initiation will have to be borne by the clients.
  • Client must take responsibility to ensure that the passport being applied for a visa should have a minimum of 6 months validity upon completion of the return journey, proper and valid OR as per the conditions perscribed for that particular country. We at TCI are glad to assist but can not be held responsible for any issues arising to your holiday or visa issuance due to Passport validity declined.
  • For clients living in countries other than India, the visa process and visa fee may be different and any additional charges that are more than the charges incurred in India will have to borne by the clients. If visa processing for Non India based clients is not feasible or possible due to any reasons that TCI considers as a factor, in that case, TCI will refund an amount equal to the cost of such visa in India and such clients will have to make their own arrangements to get the visa from their current country of stay. TCI will not be responsible for any losses or any cancellations or amendments that may arise out of any issues that such clients may have in getting their visas processed and terms of package cancellations will apply.

 

GENERAL

  • Extra measures may be implemented at some venues due to heightened global security. As a result, we may experience delays in getting through mandatory security checks when entering these venues. Extra measures may also restrict the size of bags that can be brought inside
  • Please read all vouchers provided to you carefully and keep your hotel details with addresses handy while on a package tour.
  • Please do refer to our website’s Visa Facilitation policy, Cancellations and Modifications Policy with regards to all holiday packages.

 

GROUP DEPARTURES

  •  If you are a part of our group departure, Final list of hotels during the coach tour will be provided one week before the tour departure date.
  • We design our itineraries so that all the necessary excursions and places of interest are included giving you the best possible holiday at an affordable price. However sometimes you could be offered optional excursions by your Tour Manager. These optional excursions are only possible if time permits and after completing your regular itinerary. Customers are entitled to refuse any optional offered. You will also be provided the details of the Tour Manager and Hotel for precautionary/emergency reasons. Please note it is your responsibility to be on time at the location given by your tour manager throughout the tour. Please note that any loss you may face due to being left behind or by missing any connections will be incurred by you. For further information please seek your Tour Manager.
  • If you are on one of the exclusive group tours designed for premium Indian cliental which is subject to operate only once a minimum number of bookings are received by our suppliers. If the required numbers of bookings is not obtained, the tour will be cancelled and an amount which does not include the cost of air tickets and visas will be refunded in full. Alternatively, clients will be offered another choice of similar package covering same or near similar destinations with same countries but in a different itinerary or different format. This tour may cost more or less, in case it costs more, clients will have to borne the additional expenses, if the costing is less, the excess amount received will be refunded. We generally do achieve the minimum number of bookings for our tours and cancellations are rare however starting months of September and October, there is a fare chance of cancelling the tours due to lesser number of bookings. (These changes and cancellations are applicable provided that we send you notice of the cancellation either in writing or via the telephone, at least two weeks prior to departure). If we cancel because there are not enough passengers, we will refund full amount you have paid to us in respect of the tour (for services rendered by us) (excluding the cost of the air tickets and the visas). We reserve the right to amend, amalgamate, alter, vary or cancel a tour without incurring any liability to pay any compensation.
  • In the event that we may have to cancel your tour, we may from time to time where logistically possible, operate the same tour using a mini bus; (Mini busses do not have air-conditioning or toilets on board) which will be offered to you at the same price or with a small premium. This is subject to us having a minimum of 10 passengers. If you do not wish to take this option, then a full refund will be provided (for services rendered by us), and this refund does not include the cost of your air tickets and visas if included in your comprehensive holiday package.
  • Only if you are on a group SIC tour with us, Hotels finalized for your itinerary will be detailed to you at best two days to three weeks prior to your tour departure date. In some cases, hotel rates may vary which is at the discretion of the hotel. We may ask to you to borne additional expenses for any such rate fluctuation of hotel rates however this in the rarest of cases is nominal only.

 

 

 

 

The below terms are applicable for clients for whom the visa is a part of a holiday Package being booked through TCI AS WELL AS FOR clients who have opted for our visa facilitation services as a single product or service. Please read them carefully when a term may apply to only one category, it is specifically mentioned with the same.

  • The Visa Facilitation included in our packages is by default from India. We also do assist applicants applying from outside India weather India Citizens or not.
  • If your travel arrangments weather fully or partial or through a package etc is not being done by us and we are solely assisting you with visa facilitation, then we cannot be held responsible for any delayed visas or rejected visas or any such related issues that may arise and cause your travel arrangements to be cancelled or adjourned or postponed or modified due to such issues arising out of rejected or cancelled or unissued or delayed visa issuance. we are not responsible for any delays whatssover of any sort arising from the loss or damage or dealy or passport or visa.
  • If you are on a holiday package booked with us and your visa facilitation is a part of the package, as long as we receive your passports and complete documents in due time which is equal to or more than the time advertised or made public on the website by visa issuing authority or vfs or embassy for the issuance of visas plus a period of 21 working days which we may need to complete all the paperwork, documentation, courier, applying etc, and we further apply for the same within this time and including if there are any delays from our side and we keep you updated on them with your consent, we then cannot be held responsible for any such financial or other losses that arise in the cancellation or modification of your travel arrangements or any denied boarding at the immigrations or customs of any airport in the absence of such legal documents required. Clients will have to borne all additional expenses coming out of  such issues and none will be reimbursed. Your acceptance of the package or holiday package means that you have gone through such terms and conditions as written here which are also emailed to you in the package policy at the time of confirmation with the correct link provided for you to read the full terms on the website.
  • We have no control over availability of appointment dates and times for any country and the availability may change from time to time and if a delay is caused due to such reasons as related to appointment, we bear no responsibilty of any losses directly or indirectly as mentioned in the above preceding paragraph.

We are also not responsible for the loss of passport/s or the related expenses further incurring out of it during the process of courier or transportation due to any circumstances which may be natural or human errors on part of the courier company or any other transporter. However, we will assist the clients or applicants in such situations with proper consultation and getting the alternatives organized if possible at charges applicable for any such services.
  • Please note that any rise in fee structure on the visa fee imposed by any of the governments or VFS of the applicable countries of visit after the confirmation of the tour and before the application process initiation will have to be borne by the clients.
  • Embassy or VFS or our associate organizations or related parties assisting or involved in the facilitation may ask for any additional or related or extra documents or call for an interview at any given time before or even after submission of the application one or more times if required which the client or the applicant will need to provide and does not make us liable for any delay in the visa processing ore any travel related or direct expenses occurring out of it.
  • The decision to issue or refuse a visa is made solely by immigration officers of Immigration of the respective countries or other officers assigned to do such job. All applications will be assessed in accordance with the respective country’s immigration visa rules and guidelines. TCI or VFS or Other Similar Companies working as partners with embassies or our Facilitation Partners has/have no role or influence over the outcome of an application.
  • Duration of visa provided totally depends upon embassy discretion. TCI can only make a request on behalf of the applicants in the covering letter and if asked for then in the application form. If the duration given by the embassy does not meet your criteria to fulfill your tour plans or itineray completely, clients will need to reapply at additional applicable expenses for the visa again and if that is not possible in due time, any expenses for postponement or cancellation or modification of your trip or any related expenses whatsover will have to be borne by you.
  • Client must take responsibility to ensure that the passport being applied for a visa should have a minimum of 6 months validity upon completion of the return journey, proper and valid OR as per the conditions perscribed for that particular country. We at TCI are glad to assist but can not be held responsible for any issues arising to your holiday or visa issuance due to Passport validity declined.
  • Visa may take longer or shorter than the processing time published. This is on embassy’s discretion. Please hold your travel arrangements accordingly.
  • When application forms, mandatory embassy notified forms, Family Information Forms & Consent forms (If required), Covering letter and other supporting documents etc have been filled by TCI on behalf of the applicant, Applicant/s are responsible to review all details before signing them or submitting them.
  • * For clients living in countries other than India, the visa process and visa fee may be different and any additional charges that are more than the charges incurred in India will have to borne by the clients. If visa processing for Non India based clients is not feasible or possible due to any reasons that TCI considers as a factor, in that case, TCI will refund an amount equal to the cost of such visa in India and such clients will have to make their own arrangements to get the visa from their current country of stay. TCI will not be responsible for any losses or any cancellations or amendments that may arise out of any issues that such clients may have in getting their visas processed and terms of package cancellations will apply.

PAYING FOR HOLIDAY PACKAGES & OTHER BOOKINGS

  • You will be required to pay a deposit amount ranging from 25% to 75% of the gross or net (If final amount has been given by us) of the full package amount for the party at the time of confirmation as asked by us depending upon the package you have booked or booking unless this is within 5 weeks of departure when the full amount for the booking will be payable unless we extend the deadline for you in writing. The deposit amount will be specified by us when your booking is made. If it is not specified then it will be the amount that we ask you to pay when you book, even if this is 100% of the holiday price.
  • To pay in full is your only commitment until 5 weeks before you go. We reserve the right to cancel your holiday at any such time if you fail to make the payments as promised or as required by us as per our Payment policy sent in your Proforma Invoice or by email or by any similar digital mode of communication that could have taken place between us specified as over and above anything else. Refundable amount in such case will depend on the terms and conditions of refunds for cancellations and modifications.

PAYING FOR VISA FACILITATION ONLY

  •   You will be required to pay a deposit of 100% of the net and full amount of the total cost at the time of confirmation for visa facilitation or availing of service unless this is at least a month before the desired time of submission of application and payment of Embassy/ VFS fees when 50% of the net amount may be payable only if we provide this option to you. The deposit amount in any other case will be specified by us when your query is made. If it is not specified then it will be the amount that we ask you to pay when you book, even if this is 100% of the facilitation price.
  • To pay in full is your only commitment before the application submission or filing or form filing. We reserve the right to cancel your service at any such time if you fail to make the payments as promised or as required by TCI as per our terms. Refundable amount in such case will depend on the terms and conditions of refunds for cancellations and modifications which are elaborated on our website.
  • All foreign currency payment conversions will be as per bank rates applicable to us and will attract a 3.5% Foreign Currency Conversion Charge (FCC) or 3.5% Dynamic Current Conversion(DCC) plus 18% GST on the DCC or FCC where ever applied by the banks or credit card company or payment gateways to our payments done through Credit Card or other related applicable means and will be added to total fees charged by the Embassy/VFS or other such organization.

IF WE CHANGE YOUR BOOKING

We aim to provide your holiday as booked. But if, for example, there are not enough people booked on your holiday as for the rate provided to you or you do not pay the balance of the holiday price on time, we may cancel it. We reserve the right to cancel your holiday in any circumstances but if we cancel your holiday, except where this is because you have not paid or have not fulfilled the conditions of our booking agreement as per our terms and conditions given on our website, or have partially or fully modified or cancelled a part of your package, you can either have an appropriate refund or accept a modified or replacement itinerary holiday from us of equivalent or similar standard and price, if we are able to offer you one.

 

IF WE CHANGE YOUR BOOKING DETAILS

We hope that we will not have to make any change to your holiday but, because at times when the hotels or flights prices change due to the dynamic nature of the market or your package included room or service gets booked before we receive the payment from your end as per the payment terms of the package or proceed with your booking on the latest working day after receiving your payment and find that the hotel room or the inventory that we had in consideration for booking purpose that was requested or proposed for example has been sold out or is no longer available, we sometimes do need to make changes. We reserve the right to do this at any time. We will let you know about any important changes when you book or if there are any at a later time. If you have already booked, we will let you know as soon as we can, if there is time before your departure. Flight, Train, Ferry, Boats, Coach, Helicopter, Tour or other similar timings shown by us in your package may be indicative only and may be slightly different or changed when you receive your vouchers. Occasionally it may be necessary to change the airline type for your flight which may mean that some facilities such as in-flight entertainment or the advertised seat pitch or the baggage inclusive limits or meals types may not be available. Where we are unable to provide a seat option that you have paid for we will refund the amount you have paid. Your vouchers will show the actual timings. Your actual flight timings will be shown on your ticket (including any e-ticket itinerary), which you should check carefully as soon as you receive it.

 

EVENTS BEYOND OUR CONTROL

Events beyond our control include for example: war, threat of war, riots, civil disturbances, terrorist activity and its consequences, industrial disputes, natural and nuclear disasters, fire, epidemics, health risks and pandemics, unavoidable and unforeseeable technical problems with transport for reasons beyond our control or that of our suppliers; closed or congested airports or ports, hurricanes and other actual or potential severe weather conditions, changes of any nature by state govt., central govt., or other authorities to entries or routes or permissions to changes in entry fees or taxes or surcharges or cess or fees increase or new implementation by such authorities and any other similar events.
We are not responsible for any changes to your holidays or any refunds or increase in fares or prices or costing or your package price arising out of these situations. However we will assist in getting refunds of any nature involved in this as and when they are released by the suppliers involved in your holiday or product on a case to case basis. Any increases in your package cost due to any such nature of events beyond our control will have to be borne by you.

 

IF YOU CHANGE YOUR BOOKING

1. You must ensure all names and details are provided correctly at the time of booking with correct spellings of First Name, Middle Name and Last Name. We encourage guests to send us their Passport Pages or Other Means of Official Identification that will be used by them for the purpose of the tour. For International Flights, it shall be Passport only. You will receive a confirmation of the dates, names, hotels, flights and other components involved before booking from us and then we will proceed with vouchers and generation of tickets if any , thereafter if there is something that you need to correct, we will not be responsible for any additional charges applicable for name changes or spelling mistakes of any nature or date mistakes or errors in the number of adults or child/ren etc which are charged by the suppliers like airlines in particular, however we will assist to make any changes in the process and notify you of incurred charges or you may need to pay in full the additional charges before we actually implement those changes for you. Please note that these penalties of cancellations, changes etc also may vary or increase as we get closer to the date of departure as per terms of the supplier such as an airline. Therefore all change request must be made to us at least 48 working hours before the next change in penalty is due by the supplier such as an airline or hotel to allow us to get in touch with our suppliers in order to make the desired changes in time.
2. Transferring your booking to another person or persons is not allowed. Transferring the liability to pay our outstanding may be allowed if the below conditions are met-
a-You authorize the change in writing (Conditional only)
b-The new lead passenger accepts the transfer of liability in writing and the terms of Our Agreement and takes written responsibility of payment on your behalf, complies with the terms of our agreement or mail.
.3. Please bear in mind that certain airlines and hotels and other transport providers treat changes as a cancellation and charge accordingly, even up to 100% of the cost for that part of the arrangement. Where applicable these charges will be passed on to you. We are not responsible for providing every single details with regards to your airline or hotel or sightseeing or ground transportation or similar booking while at the time of booking or offer of booking and any you must ask us any questions related to the same if you have any doubts before you give us a go ahead to do the bookings.
4.When changing your holiday details, the price of your new travel arrangements will be based on the price that applies on the day we implement or voucher the change. These prices may not be the same as when you first made your booking. These prices may vary as per the change. We may not make any changes if the payments for the additional charges has been realized in our accounts and we are in the middle of our official working hours.
5. Some accommodations are priced according to the number of people staying there. If your party size changes, we’ll recalculate your booking cost based on the new number of people going. If fewer or more people share the accommodation and transport, then the cost per person may go up or down as well. Any extra cost can be in the form of cancellation charge for the cancelling member or an increased cost of package for the remaining members of the group which is the same either ways.
6. Some arrangements cannot be removed or modified once they have been added to your booking and thus they become a part of the cancellation fee if there is any. Please note there may not be any reduction in the price you pay, even if your new travel package is cheaper than the original booking.

 

IF YOU CANCEL YOUR BOOKING

If you want to cancel your booking, or part of it, you must contact us as soon as possible. In addition to the above listed factors, to cover the cost of processing your cancellation, and to compensate us for the risk that we may not be able to resell your travel arrangements (Which is only true in certain packages), we’ll make a cancellation charge on the scale shown below. You are responsible for paying this charge. We are not responsible for providing any breakdown whatsoever of this charge and therefore we provide you this information fully before you make any bookings or complete any payments towards us.

 

CANCELATION & MODIFICATION CHARGES

The charge structure may vary based on how many days before your booked departure or tour we receive your cancelation or modification notice, or which dates have you booked your tour for as for example.. the charges may be higher or even 100% for blackout dates such as New Years Eve, Christmas Eve, Any festivals, Peak Season or Season Time, time of any special events, a late notice to change as per the terms given etc. and are applicable per person for the remaining group members or for the whole package whichever may be the case. Our charges are generally calculated based on our potential or complete liability on the cancellation penalty levied on your products or services by suppliers of your package on us, ie: hotels, flights, ground service operators or package suppliers and any service fee that may associated with these changes in addition to TCI’s cancellation service fee. We are a company that sells experiences and our professionals spend weeks and months to create exclusive products or packages and then further weeks and months sometimes to attend to you while creating or personalizing this services or packages and then further efforts in booking or creating these services for implementation. We reserve the right to charge the penalties or cancellation or modification charges without providing a breakdown. Different products or suppliers have different penalty fees which differs from case to case depending on a promotional fare offered by an airline or a promotional fare offered by a hotel or a transporter or a package provider which may attract full cancellation penalty or a certain percentage of the package price. The calculation for group bookings may be different as for individual or family bookings.
